Information we collect

Information you give us

  • When you order: your name, billing and shipping addresses, email address, phone number, the parts you ordered, the payment method you chose, and order notes. For card payments our payment processor collects your card details directly, on its secure checkout form or through a secure payment link we email you for phone orders. We never see or store your full card number or security code, and we do not take card numbers over the phone. For wire, Zelle, Cash App, Apple Cash and Chime payments we receive the payment confirmation, which shows the sending account name and may show a partial account identifier.
  • When you create an account: your name, email address, a password (stored in hashed form) and your order history.
  • When you contact us: whatever you include in the call, email or message, which often includes your vehicle’s VIN, photographs of a part or vehicle, and an installer’s invoice for a warranty claim.
  • When you ask for tax exemption: your resale or exemption certificate, which includes your business name, address and tax permit number.
  • When you leave a review: the name you choose to display, your email address and the content of the review.

Information collected automatically

  • Technical data: IP address, browser and device type, operating system, the pages you view, the site that referred you and the times of your visits, recorded in server logs and, where enabled, in analytics as described in our Cookie Policy.
  • Cart and session data: the contents of your cart and a session identifier, held by cookies so that your cart follows you through the site.
  • Fitment Checker: the year, make and model you enter are stored in your browser and sent to our server to look up fitment when you check a part. They are not linked to your name or account unless you place an order or contact us.

Information from others

  • Our payment processor sends us fraud-screening results for card orders, such as whether the billing address and security code matched.
  • Carriers send us delivery status, delivery photographs where they take them, and the name of the person who signed for a freight shipment.

We do not knowingly collect information from anyone under 18, and our site is not directed at children. If you believe a child has given us personal information, contact us and we will delete it.

Who we share it with

We share personal information only with the companies that help us serve you, and only what each needs:

  • Payment processor and bank: to charge your card, receive your wire or app payment, screen for fraud and issue refunds.
  • Carriers (UPS, FedEx, USPS and LTL freight carriers): your name, shipping address and phone number so they can deliver and, for freight, schedule the appointment.
  • Website hosting, email and e-commerce platform providers: our site runs on WordPress and WooCommerce on a managed host, and our email is handled by a business email provider. They store data on our behalf under contracts that restrict its use to providing their service.
  • Analytics provider, where enabled, receives technical data as described in the Cookie Policy.
  • Manufacturers, when we file a warranty claim for a new part on your behalf: your name, the order details, and the description and photographs of the problem. We tell you when we do this.
  • Professional advisers such as our accountant, under confidentiality obligations.
  • Authorities and courts when required by law, subpoena or court order, to respond to a chargeback or dispute, to enforce our Terms, or to protect the rights, property or safety of our customers or ourselves.
  • A successor business if we sell or transfer the business, in which case your information would be transferred under the same protections and you would be notified.

We do not sell personal information, we do not rent or trade customer lists, and we do not share personal information with third parties for their own marketing.

How we protect it

Our website uses TLS (HTTPS) encryption on every page. Card details go directly to our PCI DSS compliant payment processor and are never stored on our systems. Access to order information is limited to staff who need it to serve you, and our hosting provider maintains firewalls, malware scanning and backups. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but if a breach ever affects your information we will notify you and the authorities as the law requires.

Your choices

  • Marketing email: we send it only if you opt in at checkout or sign up. Every marketing email contains an unsubscribe link, and you can also email us to be removed. Transactional emails about an order, refund or warranty claim are not marketing and will still be sent.
  • Phone and text: we call or text only about your order or your question. Carriers may call or text to schedule a freight delivery. You can ask us to use email only for anything other than delivery scheduling.
  • Cookies and analytics: see the Cookie Policy for how to control them.
  • Account: you can update your details in your account or ask us to close it.

Your rights

Whatever state you live in, you can ask us to:

  • tell you what personal information we hold about you and give you a copy;
  • correct information that is inaccurate;
  • delete your information, except records we must keep by law (such as order and tax records) or need to complete a transaction, refund or warranty claim you have asked for;
  • stop sending you marketing.

Residents of California, Texas, Virginia, Colorado, Connecticut, Utah, Oregon, Montana, Iowa, Indiana, Tennessee, Delaware, New Jersey, New Hampshire, Kentucky, Nebraska, Maryland, Minnesota, Rhode Island and other states with consumer privacy laws may have additional rights under those laws, including the right to opt out of sale, sharing or targeted advertising (we do none of these) and the right to appeal a decision we make about a request. We honor these rights for every customer regardless of where they live. To exercise any right, email sales@americanoffroadsupply.com with “Privacy request” in the subject line, or call (210) 786-8152. We will verify your identity by matching the details of a recent order or by sending a confirmation to the email address on file, respond within 45 days, and never charge a fee or treat you differently for making a request. If we decline a request we will tell you why and how to appeal.

Carrier tracking pages, manufacturer websites and our payment processor’s forms are operated by other companies under their own privacy policies. We encourage you to read them.

Changes to this policy

We update this policy when our practices change. The “Last updated” date at the top shows the latest revision. If a change materially affects how we use information you have already given us, we will tell you by email or by a notice on the site before it takes effect.
